Sprachcaffe Languages Plus, Brighton's Terms & Conditions

After reading the terms and conditions, fill in the application (the link is at the bottom of the page). A deposit of 20% of the total amount is due at the time of registration. Please see FAQ 5 below for details of acceptable forms of payment. With your application you commit yourself to the services requested and booking conditions. After receiving the application and deposit we will send confirmation of enrolment along with the invoice. A welcome pack (including the address of your accommodation) will be sent after you have settled the remaining balance. The invoice must be paid in full four weeks before arrival.

Any change of booking (e.g. arrival date, accommodation, etc) is required up to 28 days before departure will incur a fee of £40. Afterwards we will do our best but cannot guarantee the fulfillment of the request made since extra costs may be incurred. In that case, the rebooking charge may also exceed £40.

You may cancel your enrolment at any time prior to the commencement of your course. However, you will be charged cancellation fees:

• Cancellation up to 28 days before course commencement: 10% of total fees, maximum £200.
• Cancellation between 15 and 27 days before course commencement: 20% of total fees, maximum £250.
• Cancellation between 1 and 14 days before course commencement: 50% of total fees, maximum £500.

Thereafter, 90% of the total fee is required, maximum £850. If you should cancel/withdraw after the commencement of your course, no refund will be made. Cancellation insurance is available at 2% of the total amount (minimum of £40). The insurance fee must be settled at the time of registration and will only apply if you cancel prior to departure due to health reasons (a written confirmation from the relevant doctor is required as proof).

In the unlikely event that the school is not able to create a group class due to not having enough students at the same time/level/appropriate age, smaller classes or one to one courses (for a reduced amount of lessons) will be provided instead. For example a 20 lesson course will become a 12 lesson course and a 30 lesson course will become an 18 lesson course.

Under the extemely rare circumstances of our being forced to cancel, all fees paid to Sprachcaffe Languages Plus will be refunded. The minimum number of students required to form a class is 4.

In order to provide the letter of acceptance required by the embassy for issuing a visa, 40% of the total fees should be paid together with an additional non-refundable charge of £65. Non-refundable shipping fees may also apply (approximately £65). In the case of visa refusal, a full refund minus the additional, non-refundable fees can be made providing the student provides the letter of refusal issued by the embassy at least 14 days before departure. After this date we will consider the participation of the student as confirmed and normal cancellation/rebooking charges will apply. In case the visa has not yet been issued 15 days before the departure, we strongly recommend postponing the course. In this case, the first rebooking fee will not be charged (evidence of visa refusal required).

Neither agent, operator, nor the school will be held responsible in any way for any accident, illness, loss of personal effects or change in personal circumstances arising at any time prior to or during the course. We therefore strongly recommend our personal travel insurance which starts at £0.83 per person per day for basic protection (plus a service charge of £10).

By bank transfer: the bank account number will be on the invoice.

Please send us a copy of the transfer order. All bank charges will be incurred by you.

By credit card: upon your notification, the appropriate form will be sent. It needs to be completed with the name of the credit card company, the card number, the expiry date and signature.

An additional 2% credit card fee will be charged.

Parents of minors agree that neither Sprachcaffe nor the host family shall be liable for damages or problems caused either negligently or intentionally by their children while participating in excursions. Parents and their children who are still minors recognize and accept the laws and the normal code of conduct of the country which they are visiting.
